This Data & Privacy Policy explains how Artcrafture ('we', 'us', or 'our') collects, uses, stores, and protects your personal data when you visit or use our website www.artcrafture.com (the 'Website') or interact with our services. This policy should be read together with our Cookie Policy and Terms and Conditions.

1. Introduction

Artcrafture ("we", "us", or "our") is an e-commerce and creative services platform connecting artists, craftspeople, and collectors. We are committed to protecting your personal data and respecting your privacy in full compliance with the EU General Data Protection Regulation (GDPR) 2016/679 and Finnish data protection legislation. This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and what rights you have as a data subject. It applies to all users of our website at www.artcrafture.com, including buyers (collectors), artists, workshop participants, and general visitors. Please read this policy carefully before using our platform. By registering an account, completing a purchase, or submitting your information through any form on our website, you confirm that you have read and understood this policy.

3. What Personal Data We Collect

3.1 Data You Provide Directly

When you register, make a purchase, apply as an artist, or contact us, we may collect:

  • Full name
  • Email address
  • Postal address (for delivery of purchased artworks)
  • Phone number
  • Account password (stored in encrypted/hashed form but never in plain text)
  • Payment method information (processed by our payment provider; we do not store card numbers)
  • Artist portfolio content: biography, artwork images, descriptions, pricing
  • Commission artwork requests: your instructions, reference photos, and correspondence
  • Messages sent via our contact form or to artists through the platform
  • Event and workshop registration details
3.1.1 Account Registration & Login

When you create an account or log in, we collect:

  • Full name
  • Email address
  • Password (stored in encrypted/hashed form — we never store plain-text passwords)
  • Authentication provider data (Google, Facebook, and Apple OAuth profile ID and name, if you choose 'Continue with Google, Facebook, and Apple')
3.1.2 Purchase & Order Data

When you purchase or rent an artwork, we collect:

  • Billing name and address
  • Delivery/shipping address
  • Order contents and transaction amounts
  • Payment reference data (provided by the payment processor — Artcrafture does not store full card numbers)
3.1.3 Artist Membership & Profile

If you register as an artist member, we additionally collect:

  • Artist profile information (bio, portfolio images, gallery content)
  • Bank account or payment details for commission payouts (processed via our payment partner)
  • Membership tier and subscription history
3.1.4 Commission Artwork Requests

When you submit a 'Create Artwork' commission request:

  • Reference photos or creative briefs you upload
  • Your artistic preferences and specifications
  • Communication records related to the commission
3.1.5 Events & Workshops

When you register for an event or workshop:

  • Name, email address, and ticket details
  • Attendance records and event participation history

When you use the Contact form:

3.3 Data from Third-Party Services

If you choose to sign in using Google, Facebook and Apple OAuth, we receive from Google, Facebook and Apple only the data you have authorised in the Google, Facebook and Apple consent screen, typically your name and email address. We do not receive your Google, Facebook and Apple password.

5. Who We Share Your Data With

We do not sell your personal data. We share data only with trusted third parties who are necessary to deliver our services, and only to the extent required:

5.1 Service Providers (Data Processors)
  • Payment: Payment processors (Paytrail / Klarna): to securely process payments. These providers are PCI-DSS compliant and process payment data under their own privacy policies.
  • Delivery: Courier and logistics companies: to deliver artwork orders to customers in Finland and internationally. We share your name and delivery address only.
  • Hosting: Website hosting and infrastructure provider: to host and operate artcrafture.com. Your data is stored on servers within the EU/EEA.
  • Google OAuth: Google LLC: if you use Google Sign-In (OAuth). Google processes login authentication data under Google's Privacy Policy.
  • Facebook OAuth: Meta Platforms, Inc.: if you choose to log in using Facebook, Meta processes authentication data (such as your name, email address, and profile information) under its own Privacy Policy.
  • Apple OAuth: Apple Inc.: if you use “Sign in with Apple,” Apple processes authentication data. Depending on your settings, Apple may provide a pseudonymized email address. Processing is governed by Apple’s Privacy Policy.
  • Cookie consent: Cookiebot (Usercentrics): to manage cookie consent and maintain a record of your consent choices.
  • Accounting: Accounting service: our bookkeeper processes invoicing and financial records as required by Finnish accounting law.
5.2 Other Artists on the Platform

When you place a commission artwork order, we share your commission instructions and reference images with the relevant artist. We do not share your personal contact details (email, address, phone) with artists without your explicit consent.

5.3 Legal Obligations

We may disclose your personal data to competent authorities (such as the Finnish Tax Administration, law enforcement, or courts) where required to do so by law, regulation, or a valid legal order.

5.4 International Transfers

Some of our service providers may process data outside the EU/EEA, in particular Google, Facebook, and Apple (USA). Where this occurs, we rely on the EU Standard Contractual Clauses (SCCs) or the EU-U.S. Data Privacy Framework as appropriate transfer mechanisms under GDPR Chapter V.

6. Data Retention

We keep your personal data only for as long as necessary for the purpose it was collected, or as required by Finnish law. The table below summarises our retention periods:

After retention periods expire, data is securely deleted or anonymised so it can no longer identify you.

  • Right to Rectification (Art. 16): You have the right to correct inaccurate or incomplete data without undue delay.
  • Right to Erasure (Art. 17): You have the right to request deletion of your data where it is no longer necessary, where you withdraw consent, or where we have no legal basis to retain it. Note: some data must be retained for legal compliance (e.g., accounting records).
  • Right to Restriction (Art. 18): You have the right to restrict our processing of your data while a dispute or objection is resolved.
  • Right to Data Portability (Art. 20): You have the right to receive your data in a structured, machine-readable format and to transfer it to another service provider.
  • Right to Object (Art. 21): You have the right to object to processing based on legitimate interests (Art. 6(1)(f)). We will stop processing unless we have compelling legitimate grounds.
  • Right to Withdraw Consent (Art. 7(3)): Where processing is based on consent, you have the right to withdraw consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.
  • Right to Lodge a Complaint (Art. 77): You have the right to lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutettu) at tietosuoja.fi if you believe we have violated your data protection rights.
7.2 How to Exercise Your Rights

Send your request to hello@artcrafture.com with the subject line: DATA PROTECTION REQUEST. Please include your full name and the email address associated with your account so we can verify your identity. We will respond within 30 days as required by GDPR Article 12.

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, alteration, or disclosure:

  • HTTPS encryption on all pages of artcrafture.com (TLS)
  • Passwords stored using bcrypt or equivalent one-way hashing — never in plain text
  • Payment data processed exclusively by PCI-DSS certified payment providers (Paytrail / Klarna) — we do not store card numbers
  • Access to personal data restricted to the data controller and authorised service providers
  • Regular review of security practices as the platform scales

No transmission over the internet is 100% secure. If you suspect any unauthorised access to your account, please contact us immediately at hello@artcrafture.com.

10. Data Breach Notification

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will:

  • Notify the Finnish Data Protection Ombudsman (Tietosuojavaltuutettu) within 72 hours of becoming aware of the breach, as required by GDPR Article 33.
  • Notify affected individuals without undue delay where the breach is likely to result in a high risk to their rights, as required by GDPR Article 34.
  • Maintain internal records of all data breaches regardless of whether notification is required.
11. Children's Privacy

Artcrafture is not directed at children under the age of 16. We do not knowingly collect personal data from children under 16. If you believe we have inadvertently collected data from a child under 16, please contact us immediately at hello@artcrafture.com so we can delete it.

13. Marketing Communications

We will only send you marketing emails or newsletters if you have explicitly opted in to receive them. You can unsubscribe at any time by:

  • Clicking the unsubscribe link in any marketing email we send

Unsubscribing from marketing emails does not affect transactional emails relating to orders you have placed, membership status, or event bookings you have registered for.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal obligations, or data processing practices. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this document
  • Post a prominent notice on artcrafture.com for a minimum of 30 days
  • Send a notification email to registered users where the change is significant

Your continued use of our platform after the effective date of an updated policy constitutes your acknowledgement of the changes.
